Live Captioning – a.k.a. Remote CART – For a Conference Setting

Remote CART services are an excellent way to offer captioning accommodations in a cost-effective manner. A La CARTe Connection provides live captioning that guarantees your audience an equal access opportunity to the presentation. ALC’s captions can be viewed by consumers in real time on individual devices, or a screen hosted by the venue. Offering real-time captioning is an important factor in ensuring your event prioritizes accessibility. This is especially helpful for attendees who are deaf or hard-of- hearing.

The key to quality captions is quality audio. Remote CART works most effectively in conference, symposium, or convention settings when there is primarily one presenting speaker OR there is a microphone being passed around so that every person who speaks is heard by our captioners.
Our captioners’ goal is to capture every important detail that would otherwise be understood by a non-CART recipient. If speakers use microphones and speak clearly, our captioners will supply excellent captions.

Benefits of Remote CART services in a conference setting:

Cost-effective

Remote CART services are significantly more cost-effective than on-site captioning services.

Anonymity

Viewers can watch on their smart phone/tablet and don’t feel singled out.

Transcripts

If requested, transcripts will be shared with the requestor 24 hours after each session. Thus, there is no need for the conference individual to take notes during the session.

Retention

Multiple studies show that using live captioning services increases both short- and long-term retention of the information shared.

ESL

Providing English captions is an extremely helpful service for English as a Second Language individuals.

Understanding

CART users have a better understanding and increased comprehension of material.

Equality

Equal access for all!

Using Remote CART services for your conference, symposium, or convention is simple. We will need one of the following:

Preferred: A direct line from the PA System – either set up with a computer via a webinar platform, or a call-in number – so our CART provider can hear. This scenario gives us the best quality audio so we can supply the best quality captions.

Second Option: If a direct PA line is not possible, we can use a computer connection. To prevent buffering or connectivity issues, it is best to have a hardwired internet connection.

For quality audio through a computer, we recommend connecting a USB/Bluetooth microphone. These can easily be purchased from online vendors like Amazon at a variety of price points.

Frequently Asked Questions:

How will the audience view the captions?

A La CARTe Connection will provide you with a link to view your captions. Some event organizers display the captions at the front of the room on a communal screen, and others prefer to share the link with audience members to view on their personal devices. Will the captioners understand our vocabulary?

Our CART providers are highly skilled and practiced in many settings. For example, we offer services in classrooms from theater to law and medicine, press conferences, court proceedings, and more. To bolster the captioner’s understanding of your subject, they happily use any preparation materials you might send, such as a vocabulary list, script, land acknowledgment, PowerPoint presentations, and/or list of speakers, to name a few. The more materials you can provide before the event, the better prepared the captioners will be.
