Remote CART 101

Remote CART is a staple service in providing accessibility for virtual conferencing and events—all depending on the consumers’ needs. We can caption webinars, phone calls, company meetings, classes, or other occasions. 

We will need to be able to hear the audio to caption.  This can be transferred to the captioner in a variety of modes including:

  • a webinar platform—like Adobe Connect, Blackboard Collaborate, etc.
  • a phone line
  • a VOIP system—like Skype, Google Hangouts, etc

And then you (or the consumer) will need to view the captioning using either a smartphone, tablet, or computer connected to the internet to do so. Captioning is tailored to the clients’ needs. We can provide a custom URL to view captions, or integrate them to different platforms, such as Zoom, when available.


In order for you to view your captions, you will need to click on your custom URL that has been provided to you via email. Once you have this link, feel free to save it because it will be the same for each session.

1. Click on your custom CART URL.
2. Sign into the chat on the right-hand side of the webpage.

Your captioner will also be signed into this chat box. If we are having a problem with the audio number, an invalid passcode, or audio problems, we will let you know in the chat box. 

Getting the Best Remote CART Experience Possible

We really want you to have a successful experience when using remote CART. Here are some pointers and tips:

1. Successful remote CART captioning requires good audio.  When multiple speakers talk at once, there is a bad phone connection, or there is background noise, it is very hard for the captioner to hear word-for-word what is being said. Minimizing those distractions is the best way to ensure a successful remote CART captioning experience.

2. Provide your writer with helpful terminology, agendas, PowerPoints, speaker’s names, etc. a day before the event if possible. Any sort of prep material is helpful and appreciated.

3. If your CART captioner is writing [indiscernible] or [off mic], it means that he or she can’t hear. If you are able to assist, we would really appreciate it. Maybe you could move the microphone closer to a particular speaker, ask a particular speaker to louder or slow down, etc.

Going the Extra Mile

At times, captioners encounter difficulties understanding speakers due to regional accents or dialects. Often, if the captioner is struggling to understand, other participants may be encountering the same issue. In this scenario, a colleague or attendant taking a moment to rephrase or emphasize what the speaker has said can be a helpful resolution for all parties.

I use remote CART (captioning) for our calls/webinars and wanted to reach out to let you know that ahead of time and give you a few guidelines to ensure that everything goes as smooth as it possibly can for everyone. 

The captioner listens on our phone call/webinar and writes in real-time what is being said.  While captioners can write at up to 250+ words per minute I’d like to ask that we all be cognizant of the fact that the captioner is on the line and relying on good clear audio to do a great job.  The captioners ask that you speak clearly, not at the same time as others, and minimize background noises to the best of your ability.
